Medical emergency or illness
Seek immediate medical care when needed. Chubb-AXA may assist with medical-provider referrals, communication with medical facilities, care monitoring, and evaluation of medically necessary transportation.
Some foreign medical facilities require payment before providing care and may not accept a guarantee of payment from a U.S. insurer. Travelers should retain all itemized bills, proof of payment, diagnoses, medical records, and related correspondence.
Security emergency or natural disaster
Follow local authorities’ instructions and move to a safer location when directed. Contact Chubb-AXA for security guidance or possible evacuation assistance.
Do not independently arrange a security or medical evacuation unless immediate circumstances require it. Coverage and arrangements must normally be coordinated and approved through the assistance provider.
Lost passport or travel document
Contact Chubb-AXA for document-replacement guidance. U.S. citizens should also contact the nearest U.S. embassy or consulate. Review help for a lost or stolen U.S. passport abroad
Crime, arrest, or detention
Contact local law enforcement when appropriate. U.S. citizens may also contact the nearest U.S. embassy or consulate for consular assistance.
Notify the department or program leader when the incident affects the traveler’s safety, itinerary, or ability to conduct University business.
After immediate safety needs are addressed
- Notify UCR Risk Management when the incident may involve an injury, accident, property loss, claim, or continuing safety concern.
- Complete any required University incident report.
- Preserve receipts, photographs, police reports, medical records, provider communications, and revised itineraries.
- Contact the department about necessary booking changes or additional expenses.
- Do not admit liability, assign blame, or promise payment on behalf of the University.
